Same-day online notarization for urgent corporate documents: a real case
A corporate team emailed me one afternoon: they had a release of liability that needed to be signed and notarized that same day, and the signer was in meetings until later that afternoon. Ninety minutes after the first email, the fully notarized PDF was in everyone's inbox. No office visit, no courier, no rescheduling. This is what Remote Online Notarization (RON) is for — and here's exactly how the timeline worked.
The timeline, hour by hour
- 3:02 PM — Email arrives with the document attached and one question: "can this be notarized today?"
- 3:11 PM — Reply sent: yes, by video, about 10–15 minutes of the signer's time. Quote confirmed.
- 3:54 PM — Payment received, receipt issued, session set for when the signer got free. ID copy requested for verification.
- ~4:15 PM — Secure video session: identity confirmed, document reviewed, signed electronically, notarial certificate and seal applied.
- 4:30 PM — Notarized PDF delivered to all parties. Done.
Total elapsed time from first email to delivered document: under 90 minutes — most of which was waiting for the signer to get out of a meeting.
Why this works legally
Florida authorizes Remote Online Notarization under Chapter 117, Part II of the Florida Statutes. The notarization is performed by a commissioned Florida online notary over secure audio-video with identity verification, and it carries the same legal effect as an in-person notarization. Documents notarized this way are generally accepted throughout the United States — and if the document later needs to be used abroad, it can be apostilled by the Florida Secretary of State.
What corporate teams typically need notarized fast
- Releases of liability and settlement documents
- Corporate resolutions and officer certificates
- Powers of attorney for closings or filings
- Affidavits with filing deadlines
- Agreements where a counterparty demands a notarized signature before wiring funds
The pattern is always the same: the document is ready, the deadline is real, and the blocker is finding a notary who can act now — especially when signers are in different cities.
What you need for a same-day session
- The document, final and ready to sign (PDF).
- A valid government-issued photo ID for each signer.
- A device with camera and microphone — laptop or phone.
- About 15 minutes of the signer's time.
One honest caveat: "same day" refers to the notarization session. If your document also needs an apostille, the state's processing time applies — that part gets a realistic estimate upfront, never a fake guarantee.
